Privacy Policy

This notice explains how the College of Finance handles information at collegiumfinantrium.org. The service is operated by Quintus Fidelius Marius (Roblox: CartToonie), the Aerarius Plebis, for our Roblox roleplay community.

Information we handle

• Roblox identity: your Roblox user ID, username, display name, and last sign-in time. We request the openid and profile permissions to identify you and link authorized accounts. Your Roblox password is never provided to this website.
• Member and account records: optional Roman name, staff-assigned Roman rank, recorded Discord identity where provided to staff, account numbers, account type and tier, representatives, authorized users, balances, and account status. Discord login is not required.
• Roleplay banking records: requests, transactions, in-game fines and court payouts, loans, interest, fees, notes, dates, staff actions, approvals, corrections, and archived ledgers. Existing College records were imported from Google Sheets.
• Proof you or staff submit: trade screenshots and photos, including names or other details visible in them. Upload only relevant evidence; crop out unrelated conversations, personal information, and credentials.
• Technical information: essential login cookies and session records. Our hosting providers may process IP addresses, request details, and operational logs to deliver and protect the service.

Why we use it

We use these records to verify identity, enforce account and staff permissions, operate the roleplay banking service, reconcile balances, investigate errors or misuse, support members, and maintain backups and an audit history. We do not use Roblox information for advertising, sell it, or use it to train AI models.

Who can access it

Members can access accounts they are authorized to manage. Joint-account administrators and institutional representatives may also access the accounts assigned to them. Authorized College staff can access records according to their role; records staff can review ledgers. Account records and proof are not intended to be public.

Render hosts the website and its stored records. Roblox handles authorization and provides the identity information needed for login. Their own privacy notices govern their services: Render Privacy Policy and Roblox Privacy Policy. Authorized staff may export ledgers and backups for College administration and recovery. Information may also be disclosed where legally required.

Cookies and security

We use essential cookies for sign-in and session security. Website sessions expire after eight hours; signing out invalidates your current session. The website does not include advertising trackers or optional analytics cookies. HTTPS, access checks, and restricted staff roles help protect records, but no system can guarantee absolute security. Do not share account access or send us your Roblox password.

Retention and backups

Account and transaction records, evidence, audit history, and monthly archives currently have no automatic age-based deletion schedule. They are retained to administer accounts, resolve disputes, and preserve the integrity of the roleplay ledger. Closing an account does not automatically erase its history. Backups contain copies of records; regular backup retention is limited by count and storage size, while recovery safety copies may remain until manually reviewed.

Your choices and requests

You can edit your Roman name in the member portal and contact us to request access to, correction of, or deletion of your personal information. Email petermannavery@gmail.com with your Roblox username or user ID and your request. Do not include passwords or identity documents. We may ask you to verify control of the relevant Roblox account.

We review requests individually, including what information can be removed or de-identified without compromising other members’ records or obligations that apply to us. Backup copies may persist until replaced or removed. Revoking the app’s access through Roblox prevents future authorization under that grant, but does not itself delete existing College records. Depending on where you live, additional privacy rights may apply.

Age and changes

This service is intended for users aged 13 or older who are eligible to authorize Roblox OAuth apps. Contact us if you believe a child under 13 has provided personal information. We will review the report and take appropriate action. We will update this page and its date when our practices change, and provide notice of material changes through the website.
